Carpet cleaning frequency is one of those decisions that’s easy to get wrong in both directions. Carpet cleaning is an easy line item to defer. It’s not a safety issue the way an icy walkway is, and a slightly dingy hallway carpet doesn’t trigger the same urgency as a leaking roof. But carpet that’s cleaned too infrequently ages faster, holds onto odours, and ends up needing full replacement years before it should.

Getting the frequency right protects the asset and keeps the building looking the way residents and tenants expect. Here’s how to set it.

Why Carpet Cleaning Frequency Depends on More Than a Calendar

Carpet doesn’t wear out on a fixed timeline. It wears out based on foot traffic, what’s being tracked in from outside, and how quickly dirt works its way down into the fibres.

A hallway carpet near a building’s main entrance in a rainy climate like Metro Vancouver’s takes far more abuse than a quiet meeting room carpet three floors up. Treating every carpeted area on a fixed annual schedule usually means over-cleaning low-traffic spaces and under-cleaning the ones that actually need it.

5 Essential Carpet Cleaning Frequency Guidelines by Area

  1. Main lobby and entrance carpets: quarterly, sometimes monthly through the wet season
  2. Elevator lobbies and hallways: quarterly
  3. Office and amenity room carpets: twice a year
  4. Low-traffic meeting rooms and storage areas: annually
  5. Carpets near garbage rooms, parkade entrances, or other high-grime zones: quarterly at minimum

These are starting points, not fixed rules. A building with heavier foot traffic, pets, or a location that tracks in more debris will need to clean more often than these ranges suggest. Industry groups like the Carpet and Rug Institute also note that regular cleaning is part of maintaining most carpet manufacturers’ warranties, so it’s worth checking yours.

How Method Affects Carpet Cleaning Frequency

The cleaning method you use also changes the math. Hot water extraction, sometimes called steam cleaning, gets a deeper clean by flushing out embedded dirt and allergens, but it takes longer to dry and is typically used less often, around quarterly for high-traffic zones.

Encapsulation cleaning uses less moisture and dries faster, which makes it a good fit for more frequent maintenance cleaning between deeper extraction visits. Many commercial and strata buildings use a combination: encapsulation for quick maintenance, hot water extraction periodically for a deeper reset.

We compare the two directly in our guides to hot water extraction and encapsulation cleaning for facility managers. Whichever method you use, look for technicians trained to IICRC standards.

Signs Your Current Schedule Isn’t Working

  • Traffic lanes are visibly darker than the surrounding carpet
  • Odours persist even after spot cleaning
  • Stains that used to come out with routine cleaning are now permanent
  • Residents or tenants are commenting on the carpet’s appearance

Any of these usually means the interval between cleanings is too long for how the space is actually being used, not that the carpet itself is failing. Our guide to hallway carpet stains covers what to do in the meantime.

Vacuuming Isn’t a Substitute

Daily or twice-daily vacuuming in high-traffic areas matters, but it only removes surface debris. It doesn’t reach the dirt and residue that settle deep into the pile, which is what actually breaks down carpet fibres over time and holds onto odours.

Vacuuming extends the time between professional cleanings. It doesn’t replace them.

Building a Carpet Cleaning Frequency Plan for Your Property

The most useful approach is to map your building by zone (high-traffic, medium-traffic, and low-traffic) and set a carpet cleaning frequency for each, rather than applying one blanket schedule to the whole property.

It’s a more accurate reflection of where the wear is actually happening, and it usually costs less overall than either over-cleaning quiet areas or waiting too long on busy ones. Adding it to your strata building maintenance plan keeps it on track.

Get a Schedule Built Zone by Zone

EcoPlanet Property Services has cleaned commercial and strata carpets across Greater Vancouver for over 20 years, using both hot water extraction and encapsulation depending on what each space needs. We’ll walk your building zone by zone and recommend a realistic carpet cleaning frequency rather than a generic one. See our carpet cleaning services page or request a free quote to get started.
